Too many applicants for one job? How to find the best ones fast

Updated October 12, 2026

When one job post brings in hundreds or thousands of applicants, stop reading resumes in the order they arrived. Write down the few must-have requirements, score every applicant against those same requirements, and interview only the top of the ranked list. You can do this by hand with a scorecard, or use a screening service that scores every resume for you.

Why big job posts get buried

Large job boards make applying easy, so a single post can attract far more applicants than anyone can read. People skim the first few dozen, strong candidates who applied later never get seen, and the role stays open while the hiring manager spends days sorting instead of interviewing.

A process that works at any volume

  1. List 3 to 5 must-haves: skills, experience or licenses the person cannot do the job without. Keep nice-to-haves separate.
  2. Turn each must-have into something you can check on a resume (for example "3+ years building React applications", not "strong frontend skills").
  3. Score every applicant against the same list, not just the first ones in.
  4. Rank by score and read the top 10 to 20 closely.
  5. Interview from the top of the list, and keep notes against the same must-haves so decisions stay consistent.

Questions

Should I reject applicants who don't meet every requirement?
Not automatically. Ranking works better than hard cutoffs: someone who meets four of five must-haves may still be worth a call. Decide where to draw the line after you see the ranked list.
How many candidates should I interview?
For most roles, a first-round shortlist of 5 to 10 candidates from the top of the ranked list is enough to find strong options without overloading the team.
